Planning a corporate conference takes more than the basics of booking a venue and inviting attendees. There are months of coordination that go into executing a successful conference, which requires a clear timeline to keep everyone on track. At Corinthian Events, we guide our clients through a tried-and-true planning process that can start as early as 2 years out, but much of the real planning happens within 12 months.  The larger the conference, the earlier the planning needs to begin.


12–6 Months Out: Build Your Foundation

Set goals. Establish a budget. Choose your date. These big-picture decisions shape everything that follows. It’s also the right time to finalize your venue details, begin recruiting speakers, and start your vendor search. The earlier you lock in the essentials, the better the availability and pricing. With these foundational building blocks in place, you can think about the design and details. 


6–3 Months Out: Design with Purpose

Now it’s time to build. Finalize contracts, design your agenda, and launch registration. Think through the full attendee journey, from welcome emails to transitions between sessions. Our in-house Registration department is here to help with everything from registration websites and pre-event emails to full app builds. Branding and AV production should be in motion, and your attendee outreach should be moving at full steam ahead. 


3–1 Months Out: Tighten the Details

This is the home stretch, where logistics reign. Name badges, dietary restrictions, rooming lists, seating plans, and run-of-show scripts come to life. Confirm vendor details, review final counts, and prep your on-site team. If all other pieces are in place, this phase should feel organized and solidify remaining event elements. 


Final 30 Days: Practice & Polish

Time to rehearse. Final site visits, tech run-throughs, and speaker briefings all contribute to a smooth execution. This is also when you prepare post-event feedback tools so you can measure success once the final session concludes.
